# Corporate negotiated rates and AI agents (US hotels)

> Business travelers' agents may look for company rates. If your corporate rates need a phone call or an unlisted code, agents can't use them.

Independent hotels near offices, hospitals, universities and industrial parks often rely on business travelers. Many offer corporate or negotiated rates: a discount for staff of a particular company, or a local business rate. As business travelers start using AI assistants, how those rates are booked matters.

## How business travelers' agents work

A traveler might say: "Book me a hotel near our Raleigh office for Tuesday and Wednesday, use our company rate if there is one, and put it on my corporate card." The agent will:

- Check company policy, if it has access.
- Find hotels near the office.
- Look for a company rate, using a code the traveler or company provides.
- Book, and maybe file the receipt.

Tools such as Microsoft Copilot sit close to a worker's calendar and email, which makes this kind of task natural. See [can Microsoft Copilot book a hotel?](https://akkrev.com/blog/microsoft-copilot-actions-hotel-bookings-us/).

## Where corporate rates break

**Call to book.** "Contact our sales team for corporate rates." An agent can't.

**Email confirmations.** The traveler emails the hotel, which replies with a confirmation. No online route.

**Codes that don't work online.** A code exists, but the booking engine has no field for it, or the field is hidden behind a link the agent doesn't see.

**Rates in a separate system.** Corporate rates loaded only in a global distribution system for travel agencies, not on the hotel's own site.

**Unclear terms.** Does the rate include breakfast, parking, Wi-Fi? Is it cancellable? Agents need to know to compare it with the [best available rate](https://akkrev.com/glossary/best-available-rate/).

## Company travel programs

Larger companies often use a travel management company and an approved booking tool, and their rates flow through those. That route has its own rules. Smaller companies, and many local businesses, book direct. That's where independent hotels can compete, if their corporate rates are easy to use.

## Agents and rate codes

Agents should only use codes the traveler is entitled to. A well-built agent won't search for codes it isn't given. Hotels that publish clear eligibility, such as "for employees of [company], ID may be requested", help agents and front desks alike.

## Government and other qualified rates

Similar issues apply to other rates that need eligibility: government, military, AAA and AARP. See [government and military rates](https://akkrev.com/blog/government-military-hotel-rates-ai-agents-us/) and [AAA and AARP rates](https://akkrev.com/blog/aaa-aarp-hotel-rates-ai-agents-us/).

## What this means for AI recommendations

Business travellers ask AI for hotels near a client's office or a convention centre. Hotels that describe their business facilities, location and corporate options clearly appear in those answers more often.

## How to check

Create a test corporate code if you don't have one. Ask an agent: "Book a room at [your hotel] for two nights from [a Tuesday] using company code [code], on the hotel's own website. Tell me the rate and what's included. Stop before paying." If it can't find where to enter the code, business travelers' agents can't either. ## Questions

### Can an AI agent book a corporate rate?

If the hotel's booking engine accepts a company code online and the traveler gives the agent the code, yes. If the rate needs a call or an email, no.

### Do companies let employees use AI agents to book travel?

Policies vary. Many companies require bookings through a travel management company or approved tool. Smaller companies are often more flexible.

### Where do agents find corporate rate codes?

From the traveler, a company travel policy, or a booking tool. Agents shouldn't guess or invent codes, and good ones won't.

### What about local businesses with informal deals?

Many independent hotels have handshake rates with nearby companies. Turning those into an online code makes them usable by agents and staff alike.
