# Government and military hotel rates and AI agents (US)

> Per diem and military rates need eligibility checks. Agents can book them online if the rate is clearly labeled, but they can't prove a guest's eligibility.

Many US independent hotels near military bases, federal offices and state capitals offer government and military rates. These are qualified rates: the guest must be eligible and is usually asked for ID at check-in. As travelers hand bookings to AI agents, how these rates appear online matters.

## Common qualified rates

- **Federal government per diem.** At or below the lodging per diem set by the [General Services Administration](https://www.gsa.gov/travel/plan-book/per-diem-rates) for the area.
- **State and local government.** Rates for state employees, often matching state limits.
- **Military.** Discounts for active duty, and sometimes veterans, reservists and families.
- **Military leisure.** Discounts on personal travel, separate from official duty.

## How an agent handles a qualified rate

A traveler might say: "Book me a hotel near the base for three nights at government rate." The agent will:

- Find hotels nearby.
- Look for a rate labeled government or per diem.
- Check it fits the per diem limit, if it knows it.
- Book it, noting the guest must show ID.

The agent can't prove eligibility. It relies on the traveler's word, and the hotel checks at the desk. That's how it works for people booking online too.

## Where it goes wrong

**Rates by phone only.** "Call for government rates." An agent can't book them.

**Unclear eligibility.** "Military discount" without saying who qualifies. Veterans? Families? Retirees?

**Rates hidden behind a code.** If the rate needs a code the traveler doesn't have, it's effectively hidden.

**Rate above per diem.** If the rate's total, including taxes, exceeds what the traveler can claim, they may not be reimbursed. Showing the total helps.

**Tax exemptions.** Some government travelers are exempt from certain taxes with the right forms. That's usually handled at check-in, not online.

## Labeled and honest

Clear labels and eligibility notes help in two ways. Eligible travelers' agents can find the rate. And agents booking for ineligible travelers can see it isn't for them, which reduces awkward conversations at the desk.

## Other qualified rates

The same principles apply to AAA and AARP rates and corporate rates. See [AAA and AARP rates and AI agents](https://akkrev.com/blog/aaa-aarp-hotel-rates-ai-agents-us/) and [corporate negotiated rates](https://akkrev.com/blog/corporate-negotiated-rates-ai-agents-us/).

## Per diem changes each year

GSA updates lodging per diem rates for each fiscal year, and some areas have seasonal rates. A hotel that advertises "at per diem" should keep its government rate in line with the current figure. An agent that compares a rate against an old per diem may give the traveler the wrong answer about reimbursement.

## What this means for AI recommendations

Travellers ask AI for hotels with government or military rates near bases and federal buildings. Hotels that state these rates clearly can be named for those specific questions.

## How to check

Ask an agent: "Book a room at [your hotel] for two nights from [a date] at government per diem rate, on the hotel's own website. Tell me the total with taxes, and what ID I need. Stop before paying." If it can't find the rate or the eligibility rules, government travelers' agents won't either. Our [free agent check](https://akkrev.com/ai-agent-booking/#free-agent-check) can test this.

## Questions

### What is a government per diem rate?

A rate at or below the federal lodging per diem for an area, set by the General Services Administration, for government travelers on official business.

### Can an AI agent book a government rate?

It can select a clearly labeled rate online if the traveler says they're eligible. The guest typically shows ID at check-in.

### Should agents book these rates for anyone who asks?

No. Agents should only book qualified rates for travelers who say they qualify. Hotels should state eligibility and proof needed.

### Do military discounts work the same way?

Usually similar: a labeled rate with eligibility and proof at check-in, sometimes for veterans and families as well as active duty.

### Do agents know per diem limits?

Some may look them up on the GSA site if asked. It's safer for the hotel to show the full total so the traveler can check.
