Late arrivals, self check-in and AI agents (UK)

Agents get asked whether a guest can arrive at 11pm. If check-in hours, key safes and night porter details aren't written down, they have to guess.

“Book me a B&B near Edinburgh Airport. My flight lands at 10.45pm.” That one sentence turns a simple booking into a question an AI agent must answer correctly: can the guest actually get in?

What agents need to know

Latest check-in time. “Check-in from 3pm” tells an agent when the room is ready, not when reception closes. It also needs “check-in until 10pm” or “24-hour reception”.

What happens after hours. A night porter, a key safe, a code sent by text, a door entry system. Each has different implications for a guest arriving at midnight.

Whether to tell the hotel. Some hotels need notice of a late arrival. Others ask guests to call on the day.

Costs. Some B&Bs charge a late arrival fee after a certain time.

Self check-in steps. Will the guest receive a code before arrival? Do they need to complete an online form?

Where it goes wrong

  • Check-in times listed as “from 3pm” with no end time.
  • A late arrival policy in the booking confirmation, not on the website.
  • A key safe described only in an email after booking.
  • B&Bs with a 6pm to 8pm arrival window mentioned in small print.

An agent that can’t confirm late arrival should either warn the guest or choose another hotel. If your hotel actually handles late arrivals well, you lose a booking you’d have welcomed.

Write it once

A short, clear section answers it for everyone: “Check-in from 3pm until 11pm. Arriving later? Let us know and we’ll leave your key in a lockbox with a code by text.” That’s the kind of fact agents read and repeat accurately.

What this means for AI recommendations

“Hotel in Manchester with late check-in” is a common prompt for late flights and trains. Hotels that describe their late arrival options clearly get named for it.

How to check

Ask an agent: “Book a room at [your hotel] for tonight. I’ll arrive at 11.30pm. Can I get in, and what do I need to do?” Compare its answer with what your night staff would say.
